MindForge can be set up and running very quickly. Jobsites setup typically takes between 5 and 20 minutes, depending on how the job site is structured.
In as little as 5 minutes, an admin can create a project, add basic notes or contacts, and generate a QR code for worker onboarding. In about 20 minutes, admins can create subcontractor teams, assign orientations, and share QR codes across the site.
Once setup is complete, onboarding workers is simple. Workers scan a QR code, create their profile, and are automatically added to the project. Any required orientation is automatically assigned when they join, allowing crews to onboard at any point during the project without delays. This approach helps get workers into the field faster while maintaining consistent orientation delivery and complete digital records.
Most digital orientation platforms are one-and-done. A worker completes orientation, signs off, and the system is rarely used again. While many general contractors strongly believe in conducting in-person orientations to set expectations, establish culture, and look workers in the eye, communication often stops once the worker leaves the trailer.

Our customers tell us that pushback is very minimal. Customers do not force anyone to download the app since it is a personal choice. Customers also make it clear that all job site alerts, schedule changes, weather notifications, and important updates will be communicated through MindForge. Over time, workers come to see the value of receiving messages directly rather than relying on others to relay information. Adoption happens organically, and pushback represents a very small percentage of the workforce.
It's not intended to be open all the time. Only when important messages are sent. Things like project updates, weather alerts, and logistic changes are typically quick to read, allowing crews to adjust accordingly and get back to work. For anyone worried about distracting their workers, we've seen clients who only send messages in the morning, during lunch, or after hours. That seems to work for them. But MindForge truly shines with those up-to-the-minute alerts and warnings that can happen when you least expect it.
If your method works for you, that's great! Keep doing what you're doing. But think about this: instead of relaying info to a group of foremen and having them be responsible for dispersing it to everyone else, wouldn't it be more effective to instantly alert all workers at once? That way everyone is aware of the situation immediately and the message is consistent. Foremen can then spend their time fielding questions and getting people what they need as opposed to tracking down every single person.
Every group you create in MindForge comes with a unique join code (both a QR code and an 8 digit number). When a subcontractor walks onto the job, they can either scan the QR code or download the app and manually enter the join code number. This automatically adds them to the group and they get immediate access to past and future messages sent to that group. And no company email address is required. All workers can sign in with a personal email or phone number. In addition, anyone joining a group at the jobsite level (Jobsite or Jobsite Team) will not be added to your overall Employee List. But they will appear as a member of that Jobsite.
MindForge offers you the ability to import employees via CSV. Importing CSVs allows you to easily and quickly upload your employee data into the platform. Additionally, we designed MindForge to integrate with your other software systems and are working with a handful of partners to bring MindForge to more people. We've seen customers who instantly fall in love with MindForge and others who struggle to get buy-in from their team. The main difference between these two is that one group of workers sees the value of the app and the others don't. If you explain the value (the "why") behind MindForge, it's easier for employees to wrap their heads around the new system. Do your workers hate being the last to know things? Is there a lot of confusion around schedule changes or delays? Do workers appreciate receiving detailed communication? Let them know MindForge will solve all of this. It's their direct line to everything that's happening on the jobsite. From there, all you need to do is back it up by regularly sending important information. It's as simple as that.
Yes, but MindForge is not an LMS. Although MindForge is primarily a communication platform, it is possible to assign training content to your workers. All training can be completed on a mobile device or web browser. You can upload custom training content or purchase courses from our marketplace of over 450 courses. Our content tools allow you to upload videos, PDFs, and images. We do not currently support SCORM content.
Over ten thousand workers have downloaded the MindForge app onto their phones. Our clients have reported little pushback from the field about using personal mobile devices to download work-related mobile apps. We hear that once workers have the app and start receiving critical information, they are ultimately happy about it. That's because they're more aware of what's happening around them and feel empowered.
We wanted to build MindForge like all the typical social media platforms. When you send a message, workers receive a notification (with a unique alert sound!). When they open the app, the message appears at the top of their Message Center. We also included a small red dot on the app icon if you have an unread message.
No. They only need a mobile phone number or any regular email address.
No. MindForge is not intended to replace project management software. We’ve built MindForge to work alongside project management software, by providing a tool to communicate project updates and changes to everyone on site. MindForge is a communication and training tool first and foremost. It currently has no functionality for keeping track of project timelines, tasks, resources, and budgets.
No. MindForge is an excellent complement to the Safety Management software you use to gather safety-related information from the field and track safety compliance. MindForge provides a means to act on the data you collect with your Safety Management System.
Any worker you want to include in your Microsoft Teams communications will require a company-issued email address, costing you about $13 per month. If that works for you, stick with Teams.
